Change the label right away, not whenever you get a spare minute
By the end, you'll have four labels created in WhatsApp Business and the rule for when to add them and when to remove them, so you can tell at a glance who's owed something from you today.

If you sell through WhatsApp Business, your chat list needs to show you who actually needs something from you right now, and who doesn't anymore. You open WhatsApp Business and see the same old list: whoever wrote last is at the top, yesterday's messages sit further down. Buried in there is someone who asked about the price three days ago and never wrote back. There's someone who already paid and just sent you a "thanks, all good." And there's someone you promised a payment link to and forgot to send.
All three are mixed together, sorted by date, not by who actually needs you. Your page already answers before you say a word, and your catalog, if you've put a price on every item, shows it without you lifting a finger. But the sale still happens in a chat, and someone has to run that chat: you. An inbox sorted by date doesn't tell you where each customer stands.
Labels solve exactly that. They don't file anything away: they tell you, just by glancing at the list, who needs something from you today.
Four labels, not the ones WhatsApp gives you by default
WhatsApp Business comes with default lists and suggests names when you create one, and its guide to organizing your inbox suggests lists like "New Customer," "Pending Order," "Follow-up Needed," or "VIP." They don't fit a lot of businesses well. "Pending Order" assumes you sell physical goods; if you sell hair salon or physical therapy appointments, there's no order, there's a booking. "Follow-up Needed" doesn't say what kind of follow-up: whether you need to convince them, collect payment, or just serve them quickly because they're already a regular.
Delete the ones you won't use and create your own, just a few, each with an exact meaning. Four is plenty for almost any business that sells through chat: New, Decided, Payment Pending, and Repeat Customer. According to WhatsApp's help on labels, this feature is gradually being renamed to Lists, so you'll see one word or the other on your phone. If you see Lists, the help on lists says to create them under Tools > Lists > New List; if on Android you see Labels, they're in the three-dot menu in Chats. From there you can also delete the ones you don't use. They apply to the whole chat: press and hold the chat, pick the label, and from the Chats screen, tap the customer's profile photo to see every label they have.
Each of the four answers a different question at a glance, it doesn't describe what they bought. The question is whether they need convincing, need to be charged, or need quick service because they're already someone who comes back.
The exact moment to change the label
You don't set the label when you review the list at the end of the day. You set it the instant the conversation changes status, with the chat still open in front of you. If you put it off for later, for whenever you get a free minute, that minute never comes, and the label falls behind starting on day one.
- 1They write for the first time
Label it New as soon as the message comes in, before you reply. If the deadline you set (two days, say) passes and it's still labeled New, that's a sale that's gone cold, and it's on you to write first, not wait for them to come back. - 2They tell you what they want
As soon as they ask about price or hours, or request something specific, switch them to Decided. If they message you to book a Tuesday 6:00 p.m. appointment, you already know what you're selling them: the label changes right then, not when you confirm the time. - 3You send the payment request
When the payment link or account number goes out, switch them to Payment Pending. Not before: if you label someone that way before they actually owe you anything, the label stops telling you anything real. - 4They pay and use what they bought
As soon as they confirm payment, remove Payment Pending. If it's their first purchase, leave them with no label, or move them back to Decided if something's still unresolved. If it's the second time they've bought from you, switch them to Repeat Customer: no need to convince them anymore, just serve them fast.
The mistake that makes the label useless
The costly mistake isn't at the start, when you over-label or under-label. It happens later, when the customer's status changes and the label doesn't move with it. A customer pays the $40 for their booking on Monday afternoon and is still showing up under Payment Pending on Friday, because nobody removed the label when the payment came in.
A label that doesn't get updated stops being true, and the moment it fails you once, you stop trusting any of them and go back to reading the inbox message by message
Do that with three or four customers and you stop trusting your own labels, and go back to reading the whole inbox, which is exactly what you were trying to stop doing. For the same reason, don't create a label for every product or every month: the app lets you create up to 20, but four well-kept ones are enough for almost any business. A fifth label nobody updates doesn't inform you, it just decorates.
The next lesson covers where to put the button that opens these conversations, without spending a dime on ads.
- Four labels created in WhatsApp Business: New, Already Decided, Payment Pending, Returning
- Each label gets set the moment the conversation changes, not when you review the list at the end of the day
- The label comes off as soon as it stops being true; it doesn't pile up on the contact
- Filter by label and you know at a glance who needs something from you today

Answer before opening each one. If one gives you trouble, go back to the section that explains it.
1. A customer messages asking the price of a haircut. You reply with the price, and they don't write back for four days. What label do they have, and what do you do?
They stay in Already Decided because you already know what to sell them, but four days without a reply means a sale going cold: you reach out with a specific reminder, you don't wait for them to come back on their own.
2. You send the payment link for a $40 booking on Monday morning, and the customer pays that same afternoon. When do you change the label, and to which one?
As soon as you see the payment confirmed, that same Monday afternoon, you remove Payment Pending. If it's their first purchase, you leave them with no label, or in Already Decided if there's still something to sort out, and if they'd bought from you before, you move them to Returning.
3. You've been using the labels for two months, and you notice you don't trust them anymore: you filter by Payment Pending, and half of them already paid days ago. What's going wrong, and what do you fix?
The label isn't the problem, not removing it when you got paid is. You fix it by going through that list right now and removing the label from anyone who already paid, and from then on, you change it the moment payment comes in, not when you review the list later.
