What the bot can answer on its own, and when it's your turn to step in
By the end, you'll know which questions the bot answers on its own without bothering you, when it hands the conversation to you and how you'll know, and which price you should never leave in its hands.

It's eleven at night, and someone texts you on WhatsApp asking if you have an opening Saturday at five. You're asleep. Who answers, and answers well?
That's the question that really matters, not whether the bot sounds natural or writes with too many commas. What you need to know is what it resolves on its own, without bothering you, and at what point it hands the conversation to you.
What the bot already knows without asking you
The bot doesn't improvise: it answers with what you've already written down. Hours, prices, what services you offer, where you're located, whether appointments are required. If someone asks something that's already in that profile, the answer goes out instantly, whether it's one in the afternoon or three in the morning.
It also takes bookings within the rules you set in advance: it offers the open slots on your calendar and jots down the appointment. The booking comes in as pending and you confirm it when you see it; whatever you'd already decided ahead of time doesn't need to be discussed again.
- Hours, prices, and services you've already written down
- Taking a booking for an open slot, which you then confirm
- Taking an order from the catalog and sending the payment link
- Letting someone know there's no opening today and offering the next one
- A complaint: the bot stops answering in that conversation and lets you know by email
- A customer who asks to speak with a person
- A custom price or a request outside what you offer: you review those conversations
- A question the customer repeats because the answer didn't convince them. That's when you pause the bot on that chat and take over
Which one do I pick: If the answer was already decided before the customer asked, the bot gives it. If something new needs deciding, like a price, an exception or an upset customer, it's on you. The bot goes quiet and hands you the conversation when the customer asks for a person or complains; anything else that falls outside your info, you review, and if needed, you pause the bot on that conversation and take over.
How it reaches you, and what the customer sees in the meantime
When the customer asks to speak with a person or complains, the bot doesn't go silent or grab the first answer that comes to mind. It replies with a set message, something like, "I'll connect you with the business, someone will get back to you here as soon as they can," stops answering in that conversation, and you get an email.
Before replying, read the conversation from the start, not just the last message, so you don't have to ask "what exactly did you need?" The customer already knows a person takes over from there, because the message told them so, which means there's no need to hide the switch: you simply take over from that point on.
How long can you wait to check
The bot takes the repetitive questions off your plate, and there are plenty of those, but what it leaves you with is exactly what doesn't repeat: an exception, an upset customer, a request unlike the rest. Those carry more weight per case, even if they come up less often during the day.
That's why it's worth checking messages outside the hours you set on your profile too, even though the bot won't book outside them. A customer asking for something custom on a Sunday afternoon shouldn't have to wait until Monday just because your calendar is closed on Sundays. Checking your messages two or three times a day, even briefly, is what keeps that conversation from going cold and the customer from heading somewhere else.
- The bot answers with what was already set in your info: hours, prices, services; and it takes bookings that you then confirm
- If the customer asks for a person or complains, the bot stops answering in that conversation and lets you know by email; anything else outside your info, you review
- From there you take over, and the bot won't return to that conversation until you turn it back on
- Prices that aren't set in advance are yours to set, never the bot's
