When a booking depends on a resource, not just a time
Knows how to identify which limited resources their services share (a room, a machine, a single pair of hands) and checks for that conflict before confirming each booking. Decides how much buffer to leave between appointments for setup or cleanup, and what to do when two different services want the same time slot.
You have two services that never clash on paper: each with its own time, its own slot, its own client. And yet, on any given Thursday, someone books a facial at five o'clock and someone else books a waxing appointment at the same time, and both bookings are valid until both people show up and there's only one treatment table. The problem was never the time. It was the table, the room, or the machine that both services needed without your calendar knowing it.
This course starts right there: what you really only have one of, even if your menu lists ten different services. Then it shows you how to note which resource each service actually uses, so you can spot the conflict before confirming each booking. It covers setting the cleanup or setup buffer for each room and adding it to the duration of the services that use it. And it wraps up with the rules for when two bookings want the same slot at the same time: who gets it, what you offer the one who doesn't, and what changes when a payment is involved.
This is for anyone with a room, a booth, a machine, or a single pair of hands that multiple services compete for; if each of your services has its own space and they never overlap, you don't need this course.
- Identify which resources (room, machine, chair) actually limit each of your services
- Note which resource each service uses, so you can check it before confirming each booking
- Set the prep or cleanup buffer for each resource and add it to the duration of the services that use it
- Decide the tiebreaker rule for when two bookings request the same resource at once, including the one settled by who pays first
Have the services you offer already set up in your dashboard, with their basic schedules.
The 6 lessons
In the order it makes the most sense to read them.
- 1
What you only have once, no matter how many services you sell
Knows how to tell the staff member apart from the resource that actually limits each service, and has gone through, one by one, which of their services depend on a room, a machine, or a vehicle they only have one of.
7 min - 2
Have one service take up another's slot if they share the same resource
Explains which services share the same room, booth, or machine, and how to stop two services with different names from double-booking the same time slot, whether or not your booking software catches it on its own.
6 min - 3
The room decides the buffer, not the appointment
The prep and cleanup buffer gets decided once per room, written down, and added to the length of every service that uses it, so none of them run short on time.
5 min - 4
When two services want the same room, whoever confirmed first wins
By the end of this lesson, you'll have decided who gets the room when two different services want it at the same time, what other time slot you offer before giving up, and how you keep track of anyone who wants that slot in case it opens up.
8 min - 5
Two services can want the same chair, but only one gets it
You'll come away with a fixed rule for deciding who keeps a shared resource when two bookings request it at once, and with the message already written for whoever ends up without a slot.
6 min - 6
Whoever pays first keeps it, not whoever looks first
That the slot belongs to whoever finishes booking first, and that gets checked before you confirm, not when someone sees it open, plus there's a different plan for when the conflict has already happened and two confirmed appointments are fighting over the same resource.
